Configure job trigger rules

Set up rules that automatically advance a job’s status — for example, moving a job from “Dispatched” to “In Progress” when a technician enters the customer’s geofence, or generating an invoice automatically when a job reaches “Done.”
Portal verification needed. The specific Settings sub-page that exposes job trigger rule configuration could not be located during initial portal research. The general approach below is based on the product inventory and known job automation capabilities. Steps should be verified in the portal before this article is deepened.

Before you start

  • You need an Admin role to configure system-level automation rules.
  • Geofence-based triggers require GPS Tracking to be active on your account. Manual triggers work without GPS.
  • Trigger rules apply tenant-wide and affect all technicians.

About job trigger rules

Job trigger rules are automation settings that fire when a defined condition is met during a job’s lifecycle. Common trigger types include:
  • Geofence arrival — automatically starts a job (moves it to “In Progress”) when the assigned technician’s device enters the geofence zone around the job site.
  • Geofence departure — automatically closes or advances a job when the technician leaves the site geofence.
  • Status-based actions — performs a follow-on action when a job reaches a specific status, such as creating an invoice when a job moves to “Done.”
These rules reduce manual status updates and ensure job records stay accurate without requiring technicians to tap through status changes in the app.

General steps

  1. Go to Settings in the left-hand navigation.
  2. Navigate to the System configuration area (listed under “Integrations & System” on the Settings page as “Resource & device type registries, custom fields, and other tenant configuration”).
  3. Locate the job trigger rules section. This section lists any existing trigger rules and an option to add new rules.
  4. Select the option to add a new rule.
  5. Choose the trigger type: geofence-based or status-based.
  6. Configure the trigger conditions: select the job status that triggers the rule, the condition (arrival, departure, or status reached), and the action to perform.
  7. Save the rule. The rule becomes active immediately for all future jobs that meet the trigger conditions.

Result / verify

After saving, newly created jobs that match the trigger conditions will have their status advanced automatically when the rule fires. Check the job activity log on an affected job to confirm the trigger fired as expected.

Troubleshooting

  • If geofence triggers are not firing, confirm that GPS Tracking is enabled, the technician’s device has location permissions granted, and the job has a valid customer site address that generates a geofence zone.
  • If you cannot find trigger rule settings within the System page, the configuration surface may be on a different Settings sub-page or may require a specific subscription plan. Contact Servinix support to confirm availability.
