Configure the Customer Portal

Turn on the customer self-service portal, choose which features customers can access, apply your business branding, and set which job milestones trigger an SMS notification.

Before you start

  • You must have an Admin role.
  • Go to Settings → Customer Portal.

Steps

Enable the portal

  1. Toggle Toggle customer portal to the on position.
When disabled, all portal links return a “portal not available” screen to customers. When enabled, customers can open the portal link and sign in with the last four digits of their phone number.

Choose customer features

Under Features, turn each capability on or off. Changes take effect the next time a customer signs in.
  1. Toggle Estimate approval on if customers should be able to review and approve estimates before work begins.
  2. Toggle Invoice & payment on to let customers view invoices and pay outstanding balances online.
  3. Toggle Review collection on to prompt customers to leave a review after a completed job.
  4. Toggle Job booking on if customers should be able to request new jobs themselves without calling.

Customize branding

Under Branding, empty fields fall back to your tenant account settings.
  1. In DISPLAY NAME, type the business name to show on the portal (e.g., Acme HVAC).
  2. In LOGO URL, paste a publicly accessible image URL (e.g., https://cdn.example.com/logo.png).
  3. Click Pick primary color or type a hex value (e.g., #1A73E8) in the color field.
  4. Click Save branding.

Configure SMS notifications

Under SMS notifications, choose which job-lifecycle events send an automatic text to the customer.
  1. Toggle Toggle Job booked SMS — sends when a new job is created.
  2. Toggle Toggle Technician dispatched SMS — sends when a technician is assigned and on the way.
  3. Toggle Toggle Technician en route SMS — sends when the technician starts driving to the site.
  4. Toggle Toggle Work complete SMS — sends when the technician marks the job complete.
  5. Toggle Toggle Invoice sent SMS — sends when an invoice is issued.
  1. Copy the URL shown under Customer portal URL and share it with customers. They open the link, enter their email, and receive a one-time sign-in link.

Result / verify

  • The portal toggle is on and customers can access the portal URL.
  • Feature toggles reflect the capabilities you selected.
  • Branding changes appear on the portal login screen.
  • SMS events fire at the configured job milestones.

Troubleshooting

  • SMS not sending — Verify your phone number is connected under Settings → Phone Numbers.
  • Branding not updating — Confirm you clicked Save branding after making changes.
