Schedule a job from the Inbox

Book a job for a customer directly from their conversation thread. The Schedule visit flow lets you pick a service type and available time slot without navigating away from the Inbox.

Before you start

  • The customer must have a record in Servinix. If they are a new contact, add them first. See Add a customer.
  • You need dispatcher or admin access to schedule jobs.
  • Available time slots are based on your team’s current schedule and configured service types.

Steps

  1. In the left navigation, select Inbox.
  2. Open the conversation with the customer you want to book.
  3. In the conversation panel, select Schedule visit.
  4. The Schedule visit panel opens with the heading Book a visit for this contact.
  5. Under Schedule Job, select the Service Type from the dropdown. Available types include: Plumbing, HVAC, Electrical, and General.
  6. Review the Next Available time slots listed below the service type. Servinix shows the next several available windows, for example:
    • Mon, May 25, 8:00 AM - 12:00 PM
    • Mon, May 25, 1:00 PM - 5:00 PM
    • Tue, May 26, 8:00 AM - 12:00 PM
  7. Select the time slot that works for the customer. To see more options, select Pick another time…
  8. If you want to notify the customer of the booking, leave Send confirmation to customer checked.
  9. Select Schedule to confirm the booking.

Result / verify

The job is created and appears on the dispatch board under the selected time slot. If Send confirmation to customer was checked, the customer receives a confirmation message via SMS. You can view the booked job from the Jobs page or the Dispatch view in the portal.
